Step 5 of 5: Timetable

Steps to use Exam Timetable Generator

Set the exam days and time slots and the rules, then the groups with their students, the rooms with their seats, the exams and the invigilators. Press Build the timetable, move exams by hand if needed, and export the timetable, a notice per group, an invigilation notice per person, CSV or calendar files.

How Exam Timetable Generator processes your input

Hard rules: no group sits two exams at once, a maximum number of exams per group and day, rooms of the right type holding every student (an exam can use several rooms), invigilators available, never in two rooms at once and within their maximum, optionally never on their own subject. Spacing between a group’s exams, heavy subjects apart, few rooms per exam and even invigilation loads are optimized.

Exam Timetable Generator: worked example

Fictitious end-of-year exams: six classes in two year groups, four shared papers per year group and a lab practical per class, six rooms and nine teachers who never invigilate their own subject, over two weeks.

Plan an exam session in five steps

  1. Session: the first day, the number of calendar days, the weekdays with exams, excluded dates, the time slots of a day and the rules: exams per group and day, invigilators per room (a fixed number or one per so many students), and whether teachers may invigilate their own subject.
  2. Groups and rooms: each class with its number of students; each room with its seats and, if needed, a type such as lab.
  3. Exams: subject, groups (one paper can be shared by several groups), length in slots, a heavy-subject flag and a room type if required. “Add one subject for several groups” creates a shared paper or one per group.
  4. Invigilators: subjects taught, maximum number of invigilations, absence dates and slots they never work.
  5. Timetable: press Build the timetable. Every rule is kept; a group’s exams are spread out, heavy subjects are kept apart, and invigilation is shared evenly.

Example: the sample school has six classes in two year groups, four shared papers per year group and a lab practical per class, six rooms and nine teachers who never invigilate their own subject. All 14 exams are placed, each class has at least two exam days between its exams, and each teacher invigilates 2 to 4 times.

Check and adjust

The timetable can be read by day, by group, by room and by invigilator. A shared paper with more students than one room holds is split across rooms, and each room gets its invigilators.

Use the “Move to” list on an exam to change its day and slot: rooms and invigilators are taken among those still free, any rule it breaks is listed at once, and the exam keeps its place when you build a new timetable. When an exam cannot be placed, the tool says why: no free time left for its groups, or no free room big enough.

Print and share

Download the full timetable as a PDF, a notice per group to post in each classroom, an invigilation notice per teacher, a CSV file, or a calendar file (.ics) for a group or an invigilator. Save the session as a .json file or share a link. For the weekly lesson timetable, use the school timetable generator; for revision before the exams, the study planner.

Questions about Exam Timetable Generator

Can one exam use several rooms?

Yes. When the students of an exam do not fit in one room, the tool uses the fewest rooms that hold them all and assigns invigilators to each room.

What if there are not enough invigilators?

The exam is still placed, and each room short of invigilators is listed with the number missing, so you can add people or change the rule.

How large can a session be?

Up to 400 exams, 200 groups, 100 rooms, 300 invigilators, 60 days and 8 slots a day. A session of 40 groups and 120 exams is built in about two seconds on a computer.

Is any data uploaded?

No. The timetable is calculated in your browser and saved only in this browser, unless you save a file or copy a share link yourself.

Is Exam Timetable Generator free, and do I need an account?

Yes. This tool is free to use in your browser without an account. Processing takes place on your device.

What are the limits and what should I check?
